Job Description:
Duties/Responsibilities
- Capture & Proposal Coordination: Lead and manage capture/proposal activities as assigned, across multiple functions, collaborating with writers, subject matter experts (technical, contracts, finance, etc), subcontractors, and consultants.
- Requirements and Schedule Management: Parse/analyze solicitation requirements, develop proposal management plans (i.e. proposal outlines, proposal schedules, etc), and ensure adherence to deadlines and milestones throughout the proposal development process.
- Compliance Review: Develops, reviews, and maintains compliance matrices and checklists to ensure proposals meet all solicitation requirements and evaluation criteria.
- Team Collaboration: Schedule, prepare for and facilitate meetings and reviews as assigned and communicate proposal status updates to team members and stakeholders.
- Quality Assurance: Conduct thorough reviews of proposal documents to ensure accuracy, consistency, and compliance with customer requirements and company standards.
- Collaboration Sites and Document Setup and Management: Manage setup of internal team collaboration sites, and proposal extranet sites with external team member access as needed. Create compliant document templates and perform desktop publishing of documents in any Microsoft Office application. Organize, track, and maintain proposal-related documents, including templates, compliance matrices, graphics, and draft and final responses while adhering to tight schedules.
- Proposal Repositories: Support and maintain centralized SharePoint repositories of past performance references, boilerplate text, graphics, and other reusable content to streamline future proposal efforts.
- Proposal Production: Lead the production and packaging of proposal documents, including electronic and hard copy submission, as required.
- Training: Collaborate with the Business Winning Leadership Team in the development and facilitation of the Business Winning's training program. Track instructor communications, training locations, attendees/waitlists, workshop materials, and certificates of completion, as assigned. Ability and willingness to develop and deliver related training material is preferred.
- Lessons Learned / Lessons Applied: Capture lessons learned feedback and after-action reviews from past proposal efforts and contribute to continuous process improvement initiatives to advance the efficiency and effectiveness of internal processes and future proposals.
Skills/Abilities
- Strong organizational skills and the ability to manage multiple tasks and priorities simultaneously in a dynamic, deadline-driven environment.
- Excellent written and verbal communication skills, with the ability to effectively collaborate with cross-functional teams and communicate proposal requirements and status updates.
- Meticulous attention to detail, a commitment to producing high-quality, error-free proposal documents, and a sense of urgency to meet team and customer deadlines.
- Strong proficiency in Microsoft 365 Suite (Word, Excel, PowerPoint, SharePoint, Teams), and Adobe Pro is required. Experience with proposal development and graphic development software (e.g., Adobe Illustrator and VisibleThread) is preferred.
- Ability to adapt quickly to changing priorities, requirements, and deadlines, and remain calm under pressure. Must be proactive and forward thinking, with the ability to anticipate team needs.
- Strong interpersonal skills and the ability to work collaboratively in a team environment. Assertive and able to maintain confidentiality, as required.
- Must be motivated to win.
- Must have familiarity with Shipley capture and proposal process.
- Must demonstrate an aptitude for capture and proposal planning, concepts and best practices.
Education
- Bachelor's degree in Business Administration, Communications, English, or a related field is preferred.
Experience
- Minimum of [6] years of experience in proposal coordination, project management, or a related field, preferably in the Defense contracting industry.
- Must have experience in a Specialist/Coordinator capacity with large, competitive, high-quality, high-scoring proposals valued $20M+
- Must have leadership and management experience with Requests for Information (RFIs) responses, White Papers, data calls, etc.
- Association of Proposal Management Professionals (APMP) certification is preferred.
