Job Description:
Our client is seeking a highly organized and proactive Administrative Assistant to join its team. This is an excellent opportunity for a detail-oriented professional who excels at supporting leadership and teams through efficient coordination, high-quality communication, and skilled administrative execution. The role plays a vital part in ensuring operational excellence and confidentiality across a wide range of administrative functions.

Essential Duties and Responsibilities (but not limited to):
• Provide comprehensive administrative support to managers and teams to ensure smooth daily operations.
• Manage and coordinate complex calendars, schedule meetings, anticipate scheduling conflicts, and adjust priorities as needed.
• Organize and schedule meetings, appointments, and team activities.
• Assist with onboarding and offboarding processes for employees.
• Coordinate group training requirements and support standardization of administrative processes.
• Maintain organized filing systems (both electronic and paper-based).
• Draft, produce, and distribute internal and external correspondence (memos, letters, forms, reports).
• Process expense reports, prepare invoices, and manage purchasing tasks including PCard transactions and electronic shopping carts.
• Book travel arrangements and reconcile associated expenses.
• Provide general office support including answering phones, greeting and escorting visitors, and maintaining office supply inventories.
• Ensure operation of office equipment and coordinate maintenance when necessary.
• Assist in the preparation of presentations and reports.
• Take meeting minutes and dictation as required.
• Maintain confidentiality of sensitive and classified information.

Qualifications:
• High school diploma, GED, or equivalent. Post-secondary education is preferred.
• Minimum of 5 years of progressively responsible administrative experience.
• Strong working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint).
• Demonstrated ability to prioritize and manage multiple complex tasks.
• Excellent verbal and written communication skills.
• Strong interpersonal skills and ability to work with diverse stakeholders.
• Must be detail-oriented, self-motivated, and capable of working independently as well as collaboratively.
• Proven ability to handle sensitive and confidential material with discretion.
• Willingness and ability to work onsite full-time (Monday–Friday).
• Experience with SAP/SRM and electronic document management systems is preferred.
• Familiarity with internal compliance procedures and working in secure environments is a plus.
• Due to the nature of the work, an Interim clearance is required, however the candidate will need to obtain a Secret clearance (active Secret clearance is a plus).
