Key Responsibilities:
- Manage and maintain complex calendars for five senior executives, coordinating appointments, meetings, and events across multiple time zones.
- Schedule and organize meetings, conferences, and briefings, considering priorities, availability, and potential conflicts.
- Arrange comprehensive domestic and international travel, including flights, hotels, transportation, and meeting logistics.
- Prepare detailed travel itineraries and ensure compliance with travel policies and procedures.
- Track travel expenses, process reimbursements, and manage travel-related budgets.
- Serve as the primary liaison between the executives and internal/external contacts, ensuring timely and professional communication.
- Draft, review, and edit correspondence, reports, presentations, and other business documents with a high level of accuracy and professionalism.
- Maintain organized filing systems, both digital and physical, ensuring easy access to sensitive and confidential records.
- Support project coordination by tracking deadlines, deliverables, and progress across multiple initiatives.
- Collect, analyze, and summarize data from various sources to aid executive decision-making.
- Facilitate cross-functional collaboration and act as a key communication conduit for the executive team.
- Anticipate needs, identify potential challenges, and proactively offer solutions to improve executive efficiency.
- Promote and implement streamlined processes, tools, or technologies to optimize administrative workflows.
- Maintain strict confidentiality and handle sensitive information with discretion.
Required Qualifications:
- Active TS/SCI clearance is required.
- Proven experience providing high-level administrative support to senior leadership.
- Strong organizational and multitasking abilities with meticulous attention to detail.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools.
- Excellent verbal and written communication skills.
- Demonstrated ability to manage competing priorities, adapt quickly, and meet tight deadlines.
- Strong interpersonal skills and a professional demeanor.
- Ability to work independently and collaboratively in a dynamic environment.
- Experience in handling confidential and sensitive information with discretion.
Preferred Qualifications:
- Prior experience supporting government, military, or intelligence community executives.
- Knowledge of federal travel regulations or DoD travel systems (e.g., DTS).
- Associate's or Bachelor's degree in Business Administration, Communications, or related field is preferred.
