Pay Range

$77,610 - $113,988 Annually

$77,610 - $95,052 Annually for the E01.1 level
$93,090 - $113,988 Annually for the E01.2 level

This is the lowest to highest salary in good faith we would pay for this role at the time of this posting. Pay will not be below any applicable local minimum wage. Job Description

We have an opening for a Document Coordinator to support the Subcritical Experiments (SCE) Program. This role supports teams executing multi-year projects, which generate hundreds of documents and records. Delivering high quality documentation products requires strong management of task priorities and attention to detail. The successful candidate will demonstrate the ability to work independently, efficiently execute established organizational processes, collaborate with external partners, and communicate effectively across all levels of the organization. The SCE Document Coordinator reports to the SCE Document Manager within the SCE Program. This position is held within the Defense Technologies Engineering Division (DTED).

Depending on your assignment, this position may offer a hybrid schedule, blending in-person and virtual presence. You may have the flexibility to work from home one or more days per week.

This position will be filled at either level based on knowledge and related experience as assessed by the hiring team. Additional job responsibilities (outlined below) will be assigned if hired at the higher level.

You will
  • Implement and oversee the programmatic documentation control process for LLNL SCE projects.
  • Assist engineers and managers with the Windchill configuration management (CM) release process for all official SCE documents using the Enterprise Lifecycle Management (ELM) database.
  • Train project and administrative staff on the document release process and how to generate document release workflows.
  • Manage and track the high volume of electronic release workflows in support of SCE project deadlines and schedules.
  • Communicate document completion requirements and provide consistent follow-up with document owners and reviewers to ensure deadlines are met.
  • Guide and assist team members with document formatting to ensure requirements are met for applicable standards, policies and procedures .
  • Create and maintain program and project-specific document templates.
  • Coordinate regularly with counterpart documentation and records groups (i.e. JLON, NNSS) at other NNSA sites where LLNL SCE work is conducted.
  • Perform other duties as assigned.

Additional job responsibilities, at the E01.2 level
  • Gather and analyze data to evaluate process flow accuracy and efficiency.
  • Generate status reports using productivity metrics for project teams.
  • Coordinate resolution of data quality issues and communicate impacts of new or updated data requirements to affected stakeholders.
  • Contribute to development and implementation of quality control documents and reports and participate in off-site testing, which may require occasional travel.
  • Identify and implement process improvements into the SCE Document Control Process with concurrence from SCE Document Control Manager.
  • Assist in maintaining and improving the SCE Master Document List (MDL) shared with the Nevada National Security Site (NNSS).


Qualifications

  • This position requires an active Department of Energy (DOE) Q-level clearance or active Top Secret clearance issued by another U.S. government agency at the time of hire.
  • Associate degree or equivalent combination of education and related experience.
  • Extensive experience using MS Office business applications or similar word processing, spreadsheet and databases applications.
  • Proficiency working in the Windchill Enterprise Lifecycle Management - Unclassified and Classified (ELM-U and ELM-C) environment for creating, uploading, reviewing, approving, revising, and releasing records in ELM-U and ELM-C
  • Knowledge and understanding of classified document control, email, and computing procedures.
  • Understanding of standards, procedures, and techniques related to document configuration management and quality control.
  • Experience interfacing with project personnel and management and communicating technical information to users.
  • Ability to use discretion and problem-solving skills to resolve issues.
  • Ability to collaborate with others and work as a team, recommending and communicating process improvements.
  • Experience with multi-tasking in a dynamic work environment that frequently involves short turnaround time and schedule constraints.
  • The ability to work independently from general task definition and responsively support changing priorities.
  • Ability to travel on occasion to project work site locations (mostly the Nevada National Security Site).

Additional qualifications at the E01.2 level
  • Bachelor's degree or equivalent combination of education and related experience.
  • Experience gathering and analyzing quality control data for accuracy and completeness to ensure all requirements are met.
  • Experience working independently or part of a team in developing quality control documentation and reports.
  • Experience providing and/or defining process flow charts and conducting comprehensive assessments to meet quality control milestones.

Qualifications We Desire
  • Experience working in and supporting multi-disciplinary science and engineering teams.
  • Knowledge and understanding of Subcritical Experiments Program or similar National Laboratory programs.
  • Experience with database entry and management of Measuring and Test Equipment (M&TE) data records and controlled documents.
  • Understanding of Procedure Professionals Association (PPA) formatting, reviewing, and editing.
  • Experience with management of Team SharePoint and Microsoft Teams Applications.
