Responsibilities:
- Assigns motor vehicles to drivers for conveyance of freight or passengers, and compiles lists of available vehicles. Monitors on-site fuel distribution equipment, including fuel usage to properly account and report to the PMO.
- Maintains Arizona Class ABC Underground Storage Tank (UST) operator's training certification. Ensure the daily, monthly, annual, and triennial UST inspections are completed and documented following DOE, WAPA and state guidance.
- Maintains spare vehicle keys for all DOE and GSA fleet vehicles, record sheets, pool vehicle log sheets, and driver licenses credentials; records time of departure, destination, cargo, expected time of return.
- Confers with customers to expedite or locate missing, misrouted, delayed, or damaged merchandise; maintains record of mileage, fuel used, repairs made, and other expenses, and; uploads monthly mileages into GSAFLEET.gov, Maximo or similar program for Federal Automotive Statistical Tool (FAST) reporting.
- Delivers reports based on data compiled, tabulated, and computed in Fleet operations, maintains files of documents used and prepared, compiles detailed production sheets or work tickets for use by the PMO to ensure proper ordering and repairing of Fleet. Reports can be generated from, but not limited to, Maximo, BOE, Data Splice, GSAFLEET, and/or GSA Drive Thru.
- Assists with escorting and quality assurance oversight of repairs or new construction projects to ensure compliance as well as any other duty related items.
- Prepares and submits GSA Customer Acquisition Module (CAM) cycle requirements, assists in processing yearly vehicle replacement orders through GSA to include data entry and research based on evaluation of fleet management needs.
- Maintains filing system within Maximo & data drives to include repair records, vehicle modification requests, cost estimates, vehicle accessory forms, accident forms, preventative maintenance, and safety recall documents on each active and inactive vehicle.
- Notifies the safety office and GSA of recurrent problems that may cause injury or inconvenience to personnel.
- Provides on-call assistance as needed by federal employees; may include evening, nights, weekends, and holidays.
- Delivers vehicles to repair and maintenance facilities as required and maintains required forms. Ensures work trucks are equipped with emergency road kits, properly mounted fire extinguishers and safety kits.
- Generates various reports, such as the vehicle utilization report, vehicle cost reports and monthly mileage reports, vehicle rotations, deletions, additions, and modifications; oversees and analyzes utilization and makes recommendations for decreasing costs.
- Reviews GSA bills and identifies potential errors. Maintains and accounts for GSA and DOE Fleet cards and assists with billing reconciliation if needed. Completes and documents annual inventories for vehicles, equipment, credit cards, spare keys & vehicle mounted equipment.
- Completes periodic Arizona Department of Environmental Quality reporting requirements. Performs or schedules fuel containment and delivery testing with local vendor and obtains PMO approval for work and payment.
- Coordinates for installation and add-on equipment for new vehicles; returns vehicles to original condition upon termination of lease, and track vehicle parts required for turn-in for DSW modifications.
- Completes Annual FAST Reporting Requirements.
