USmax Corporation is seeking an Operations Support Specialist to provide expertise in operations support and workflow integration for our DoD customer's training support services contract in Santa Barbara County, CA. This position focuses on curriculum review, operational workflow optimization, and agreement management. The ideal candidate will possess experience in military training environments, curriculum development, and operational support processes.

Duties and Responsibilities:

  • Conduct semi-annual reviews of training syllabi
  • Support workflow integration across organizational units
  • Assist with operational orders issued from leadership
  • Identify process improvements to enhance operational efficiency
  • Document best practices and lessons learned
  • Coordinate with stakeholders to optimize training delivery
  • Lead development and updates to Memorandum of Agreements (MOAs)
  • Support Host Tenant Support Agreement (HTSA) meetings and documentation
  • Ensure compliance with agreement terms and conditions
  • Track agreement status, renewal dates, and action items
  • Coordinate with stakeholders on agreement implementation
  • Provide recommendations for future agreement development
  • Assist with personnel recognition program development and implementation
  • Support administrative processes related to operations
  • Collaborate with Administrative Support Specialist on file structure and documentation
  • Contribute to weekly activity reports
  • Support special projects and initiatives as assigned
  • Assist with coordination of cross-functional activities

Required Qualifications:

  • Bachelor's degree and 3+ years of relevant experience, OR 5+ years of relevant experience
  • Experience with military training curriculum development or evaluation
  • Experience with MOA/MOU development and management
  • Knowledge of military protocols and procedures
  • Knowledge of DoD training standards and requirements
  • Prior experience supporting military operations
  • Strong writing and documentation skills
  • Proficiency with Microsoft Office Suite
  • Excellent communication and interpersonal skills
  • Strong organizational and time management abilities
  • U.S. Citizenship
  • Ability to obtain a favorably adjudicated National Agency Check (NAC)

Preferred Experience:

  • Active Secret security clearance
  • Experience at DoD installations in California
  • Experience with workflow optimization
  • Formal training in project management or process improvement
  • Prior experience with Host Tenant Support Agreements
  • Experience with personnel recognition programs
  • Knowledge of Space Force or Air Force operations

Required Education:

  • Bachelor's degree and 3+ years of relevant experience, OR 5+ years of relevant experience

Physical Requirements:

  • Ability to remain in a stationary position for extended periods
  • Regularly operate a computer and other office equipment
  • Occasionally transport files and materials up to 15 pounds
  • Work is performed in an office setting with normal ranges of temperature and humidity

Security Clearance Requirements:

  • Successful completion of background check
  • U.S. Citizen

Work Location / Schedule:

  • Onsite 5 days a week, Santa Barbara County, CA
