Position Summary:

Highly organized, detail-oriented, and tenacious with a passion for efficiency and seamless process execution. Fast-paced environment where exceptional communication and collaborative skills are required.

Central point of contact for all customer equipment procurement, ensuring timely and accurate acquisition of necessary resources. Responsible for meticulously tracking internal security clearances and expertly navigating the administrative paperwork required for both internal operations and customer-specific needs. A proactive approach and unwavering commitment to detail will be essential in maintaining compliance and facilitating smooth workflows.

Key Responsibilities:
  • Customer Equipment Procurement:
    • Manage the end-to-end procurement process for customer equipment, including generating purchase requests, coordinating with vendors, tracking orders, and ensuring timely delivery.
    • Maintain accurate records of all equipment orders, deliveries, and related documentation.
    • Proactively communicate with internal teams and customers regarding equipment status and potential delays.
  • Internal Security Clearance Tracking:
    • Administer and track the status of all internal security clearances, ensuring compliance with company policies and government regulations.
    • Maintain a comprehensive and up-to-date database of employee security clearance information.
    • Coordinate with relevant departments to facilitate the security clearance process and resolve any issues promptly.
  • Administrative Paperwork Processing:
    • Prepare, process, and manage a wide range of administrative paperwork for both internal requirements (e.g., expense reports, travel authorizations) and customer-specific needs (e.g., contract documentation, deliverable submissions).
    • Ensure all paperwork is accurate, complete, and submitted in a timely manner.
    • Maintain organized electronic and physical filing systems for all administrative documents.
  • Communication and Collaboration:
    • Serve as a primary point of contact for internal teams and customers regarding equipment procurement, security clearances, and administrative processes.
    • Communicate effectively and professionally through various channels (e.g., email, phone, in-person).
    • Collaborate effectively with cross-functional teams to ensure seamless execution of tasks and projects.
  • Process Adherence and Improvement:
    • Adhere strictly to established processes and procedures, ensuring accuracy and efficiency.
    • Identify opportunities for process improvement and contribute to the development of streamlined workflows.
    • Maintain a strong focus on rapid task completion without compromising accuracy or attention to detail.

  • Working Hours: Standard


Qualifications:

Required:
  • Bachelor's degree in Business Administrations and a minimum of 5 years experience or related field OR 10 years experience in lieu of degree
  • Advanced skill level with Microsoft Office Suite
  • Proven experience in an administrative role, preferably with responsibilities in procurement, security administration, or a related field.
  • Exceptional organizational skills and meticulous attention to detail.
  • Demonstrated ability to manage multiple tasks simultaneously and prioritize effectively in a fast-paced environment.
  • Excellent written and verbal communication skills, with the ability to interact professionally with individuals at all levels.
  • The ability to obtain a U.S. DoD Secret clearance, which requires U.S. citizenship.
