About the Role:
Aquila is seeking a Administrative Assistant t o join our team in supporting one of the country's premier defense research organizations. The Administrative Assistant will work along side other TA Coordinators to provide administrative support across the TA Operations and HR business partnership function in the Human Resources Department.

Aquila is seeking a Administrative Assistant t o join our team in supporting one of the country's premier defense research organizations. The Administrative Assistant will work along side other TA Coordinators to provide administrative support across the TA Operations and HR business partnership function in the Human Resources Department.
There are a few requirements for the position:
- Must be a U.S Citizen- Must have able to obtain an Active Secret Clearance (Green Cards / Visas do not qualify)
- Willingness to undergo a comprehensive background investigation and maintain a personal security clearance. (Aquila would sponsor you for the security clearance.)
- Must be within 100 miles of worksite (Lexington, MA)
Responsibilities:
- Support HRBP and Talent Acquisition team administratively, inclusive of processing of all employee actions, beginning with hiring and onboarding through the off boarding process.
- Coordinate processing of entries through submission of personnel action forms to the Workforce Service Center.
- Coordinate candidate interviews and assist in scheduling with groups and departments.
- Assist with pre- and post-employment transactions including onboarding documentation.
- Participate in New Employee Orientation on a rotational basis facilitating presentation materials to new employees.
- Monitor HR recruiting email and phone line.
- Provide office coverage at a minimum of two days per week to greet employees and assist with questions as needed.
Preferred Qualifications:
- Previous experience supporting operational activities within a Human Resources department.
- Familiarity with automated resume tracking systems and HR software.
- Excellent administrative skills, strong attention to detail, and the ability to manage multiple priorities.
- Experience using applicant tracking systems (ATS) and proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint).
- Excellent interpersonal and written communication skills.
