Role and Responsibilities:
The role of the Administrative Assistant involves actively participating in providing administrative support to all individuals, including those with significant disabilities and veterans. The Administrative Assistant directly reports to the Regional Manager and fulfills these duties to assist in the efficiency of the department’s operational needs.
Essential Duties:
Perform administrative tasks to support the department
Assist with the security clearance process for applicants and potential new hires
Compile company correspondence and maintain confidentiality of sensitive documents
Assists with data entry and processing of payroll
Audit and submit monthly expense reports to corporate accounting department
Assist in daily scheduling and tracking of work assignments
Coordinate special projects and plan special events
Assist and support team recognition program
Coordinate meetings, conferences and travel arrangements
Perform any other duties as assigned
General Administrative Duties:
Manage calendars, email correspondence, and phone calls for the team.
Maintain organized records and files, both physical and electronic.
Order and manage office supplies as needed.
Handle incoming and outgoing mail and packages.
Uphold the organization’s mission, values, code of conduct, and business ethics in all interactions.
Maintain the highest level of confidentiality and professionalism, protecting and securing all private, personal, and strategic information related to any aspect of the operations.
Maintain comprehensive and accurate records.
Respond to program participants, employees, stakeholders, customers, partners, and affiliates; all inquiries, requests, etc., in a timely, polite, sensitive, and professional manner.
Serve as a point of contact and gatekeeper to prioritize urgent or sensitive matters.
Support agency-wide branding and communications, including social media presence, promotional materials, newsletters, public events, etc.
Adhere to all local, contractual, state, and federal regulations, including those governing employment and safety.
Adhere to all Network and/or Affiliate policies, practices, and standards.
Education and Experience Requirements:
High School Diploma or GED required.
Associates degree or higher (Preferred).
Advanced proficiency with Salesforce and MS Office.
Proven (2) years’ experience as an administrative assistant or in a similar support role.
Experience Supporting Sales Team (Preferred).
Experience with sales/opportunity records, customer data, reporting, dashboards, etc (Preferred).
