The Contractor shall provide executive administrative support and coordination for OCIO leadership to help streamline OCIO leadership’s day-to-day operations. This includes providing executive level support managing schedules, organizing meetings, handling email correspondence, maintaining records, and providing general administrative support to ensure the smooth functioning of the OCIO. Additionally, this support requires the ability to respond quickly and effectively to changing workloads, as well as to handle sensitive information, and to uphold a strict level of confidentiality and a high degree of discretion.
• The Contractor shall provide support to ensure tasks are completed.
• The Contractor shall provide support scheduling meetings, and working with other Executive Assistants within CISA, at the Department level, and across the Department at other DHS Components and external partners (federal and contractor)
• The Contractor shall provide support developing briefings and executive briefing memos.
• The Contractor shall provide support creating travel requirements for OCIO leadership
• The Contractor shall provide support scheduling executive sedan services.
• The contractor shall support OCIO leadership in meetings with customers by developing agendas, taking notes, collecting input from internal and external customers and disseminating as necessary to include appending to meeting invites.
• The Contractor shall provide support and be responsible for managing the operational schedule of the Executive staff, and exercises control over appointments with authority for commitment of time. The Contractor shall be responsible for forecasting potential requirements, deconflicting problems, and plans and projects time for historically recurring requirements.
• The Contractor shall provide continuous improvement and customer service.
• The Contractor shall provide administrative support with various office support functions, including organizing, communicating, and coordinating information, using independent judgment, problem-solving skills, and initiative to determine approach or action to take in non-routine situations.
• The Contractor shall perform a variety of tasks to manage operational details by organizing, completing and/or delegating office support work and making decisions. Anticipates and prepares materials as needed for correspondence, appointments, meetings, telephone calls, conferences, etc.
• The Contractor shall prepare correspondence and other documents, such as agendas, meeting minutes, reports, materials for presentations, for approval by Federal POCs.
• The Contractor shall utilize computer databases and computer applications, such as Microsoft 365 suite of products, which include Microsoft Word, Excel spreadsheets, PowerPoint presentations, Microsoft Teams, and desktop publishing.
• The Contractor shall be responsible for completeness, accuracy, and format of documents.
• The Contractor shall provide a structured approach to managing projects, ensuring they are executed efficiently and effectively.
• The Contractor shall establish, manage, and create files and records as necessary using judgment and knowledge of office requirements, updating files and records, and retrieving and storing files as needed.
• The Contractor shall utilize the Agency’s automated tools to aggressively track the flow of documents and executive commitments, to gather statistical data, and to share pertinent information with Agency officials.
• The Contractor shall provide expertise to continually improve process effectiveness and efficiency by leveraging existing technology. This includes, but is not limited to, integrating various Office 365 products (to include PowerPoint, Visio, Project, OneNote, SharePoint, Power App, Power Automate, Power BI, etc.) to create automated forms, workflows, documents, and emails with the ability to track various metrics throughout the process.
• The Contractor shall have strong communication skills, ability to perform independent research and analyze data, and possess critical thinking skills, organizational skills, and computer skills to perform required tasks.
• This task requires onsite support Monday through Friday, within the working hours of 8:00 am to 5:00 pm EST.
