RiVidium Inc. is seeking an Executive Assistant (EA) to provide high-impact support to executive level personnel while being seated at the front desk to ensure executive accessibility and a professional office presence. This role blends strategic partnership with hands-on operational excellence. The EA will provide backup coverage for the main receptionist to maintain seamless front-office operations.
Key Responsibilities:
Strategic Partnership
- Manage a complex executive calendar with strategic time-blocking and prioritization.
- Triage the Executive Team's email, draft responses, and surface critical issues with context and recommendations.
- Track Objective and Key Results (OKR) and transformation initiatives across divisions; prepare periodic status updates.
- Attend leadership meetings as executive level personnel's proxy when requested; capture decisions and action items.
- Conduct stakeholder analysis ahead of key meetings to inform approach and desired outcomes.
- Lead special projects independently, from scoping through execution and close-out.
- Own and maintain the executive Customer Relationship Management (CRM) relationship tracking; log touchpoints and next actions.
- Coordinate follow-up campaigns from networking events; draft executive communications and thank-you notes.
- Serve as a professional interface to board members, customers, partners, and internal leaders at all levels.
- "Manage up" with tact and judgment; anticipate needs and propose solutions.
- Triage and route incoming leadership requests; clarify urgency, owners, and timelines.
- Coordinate executive team meetings; prepare agendas, materials, and capture outcomes with owners/due dates.
- Handle confidential and sensitive information with absolute discretion.
- Reconcile expenses and organize receipts; support light administrative processes as needed.
- Coordinate daily front-office operations in collaboration with the main receptionist.
- Attend select networking events to capture intelligence and document follow-ups.
- Support intern program administration (scheduling, onboarding logistics, task coordination).
- Coordinate complex domestic travel itineraries in compliance with Federal Travel Regulations (FTR).
- Plan and execute corporate on-site/off-site events (logistics, invites, run-of-show, post-event follow-ups).
- Draft, review, and edit reports, memos, and executive communications for clarity and accuracy.
- Conduct corporate orientation for new hires and coordinate leadership's participation.
- Provide professional front-desk presence while seated at reception; greet visitors and coordinate sign-in/badges.
- Provide scheduled and ad-hoc coverage for the main receptionist to ensure uninterrupted service.
- 2+ years supporting C-suite or executives with heavy calendar/email ownership and cross-functional coordination is preferred.
- Demonstrated experience with task tracking, meeting facilitation, and executive-level communications.
- Proficiency with MS 365 (Outlook, Teams, Word, Excel, PowerPoint), SharePoint/OneDrive; aptitude with CRM tools.
- Strong project management skills; able to scope, plan, execute, and report with minimal oversight.
- Exceptional judgment, discretion, and executive presence; able to influence without authority.
- Superior writing, proofreading, and visual-presentation skills.
- Bachelor's degree preferred (or equivalent experience).
