• Provides principal administrative support in an office, usually to one individual, but in some cases, also to subordinate staff of that individual. Maintains a close and highly responsive relationship to the office's day-to-day activities.
• Responds to routine telephone requests with standard answers; refers non-routine requests to
Supervisor or staff; refers calls and visitors to appropriate staff.
• Utilizes office automation software such as word processing, calendar, database management and electronic spreadsheet to generate a variety of correspondence, receives and transmits electronic messages and mail, and maintains administrative data pertinent to the Supervisor's work and enters and retrieves data for the production of reports.
• Reviews incoming mail and routes to appropriate employee.
• Labels, scans, photocopy, and collate documents. Faxes outgoing documents and routes incoming fax documents.
• Establish and maintain administration files, correspondence and documents;
• Types and reviews outgoing materials and correspondence (e.g. MS Word documents, PowerPoint presentations, Excel spreadsheets etc.) for internal consistency, conformance with procedures, grammar, construction, format and enclosures and distributes to appropriate office; ensures that proper clearances have been obtained.
• Maintains calendar/schedule and makes appointments.
• Provides and coordinates logistical support for meetings, conferences, and events e.g. assembles and mails materials, arranges for meeting rooms; arranges travel etc.
• Requisitions supplies, printing, maintenance, or for other services; Researches vendors to procure supplies, materials etc.
• Coordinates personnel and administrative forms for the office and forwards for processing.
• Maintains time and attendance records and data entry of the same into the Bureau Personnel Management System (BPMS).
• Other administrative duties as assigned from time to time.
